Overview

Paradino is an AI tool for financial advisers that helps to automate paraplanning, SOA creation, client file notes and more. As their user base rapidly expanded, they needed a way to reach, qualify, and engage financial planners across AU, NZ, and the UK without sacrificing operational control.

To solve this, we designed and implemented a multi-stage automation system using Lemlist, Mailchimp, Calendly, Make.com, and Attio CRM. Which helped to create an end-to-end funnel that captures, nurtures, and converts leads with minimal manual intervention.

The Challenge

Before setting up automation, Paradino ran into several issues that were slowing their growth.

  • Cold outreach was manual, generic, and underperforming 
  • Demo leads weren’t syncing properly into the CRM 
  • Website sign-ups weren’t followed up in time 
  • Warm and cold leads had no structured nurture flow

What we did for them:

1. TAM & ICP Analysis

Before building any automation, we helped them to define their Total Addressable Market (TAM) and Ideal Customer Profile (ICP).

The key insights we got was:

Ideal Customer Profile:

  • Small to mid-sized firms (1–30 advisers) 
  • Admin teams handling compliance-heavy processes 
  • Already using tools like Calendly, Mailchimp, or CRM tools 
  • Open to AI/automation adoption to reduce workload 

This allowed us to filter outreach data, tailor messaging, and personalize campaigns to the exact audience most likely to convert.

2. Automation Stages

 

2.1 Multi-Channel Outreach Using Lemlist

How It Works:

  • Built cold email sequences using Lemlist with AI personalization
  • Enriched contact data (emails, job titles, LinkedIn profiles)
  • Embedded custom preview images for higher engagement
  • Set up trigger-based follow-ups and LinkedIn message steps
  • A/B tested campaigns to optimize performance

Problem it solved: Client outreach was slow, generic, and low-converting.

2.2 Instant Scheduling and CRM Sync via Calendly

What We Did:

  • Created Calendly workflows for Demo Calls & Discovery Sessions
  • Connected Calendly to Attio via automation to check or create CRM records
  • Triggered lead status updates and stopped Lemlist sequences on booking

Problem it solved: Booked meetings weren’t syncing with the CRM, leading to missed follow-ups and outreach.

2.3 Real-Time Lead Routing from Website Forms

What We Did:

  • Monitored form responses in Google Sheets
  • Triggered regex parser to extract domain/company details
  • Routed new leads into Mailchimp (for nurture), Lemlist (for outreach), and Attio (for CRM tracking)

Problem it solved: Website sign-ups weren’t integrated into the sales funnel fast enough.

Result:

2.4 Lead Nurturing and Drip Follow-ups

What We Did:

  • Connected Calendly to Mailchimp to auto-tag leads by booking type
  • Built workflows for post-call emails and nurturing drips
  • Synced Mailchimp & Lemlist for behavioral retargeting

Problem it solved: No follow-up process after sales calls, resulting in cold leads and missed conversions.
